Project Brief

Late, incorrect and incomplete time sheets and subcontractor invoices are the Achilles heel of Australia's transport, trades and construction industries.

Fred and Gabriel Mendizabal, directors of Mendizabal Container Solutions (MCS) contacted Appiwork to create a better way for them to collect, assess and action subcontractor timesheets and invoices and then use them to accurately create client invoices.

The MCS web app has made them one of the most efficient companies in the Australian transport industry.

The MCS web app allows MCS subcontractors to submit work items electronically on the job via their mobile devices or at home/office on traditional computers.

MCS administrators create jobs for subcontractors to choose from, and can approve or deny their submitted work items. At the end of the week, the MCS admin can automatically generate tax invoices for subcontractors as well as for clients.

Project Need

The app was designed and develop to allow integration.

The outsourcing of labour and resources to complete various projects, is a trend that is heavily gaining more and more momentum within industry.

Keeping track of invoices and timesheets relating to these projects can become more and more difficult as the number of subcontractors or employees is increased, and if there are multiple projects occurring simultaneously, this can also create confusion and add to the difficulty of keeping track of project related expenses.

The MCS web app design allows for fast and efficient invoice amalgamation, for a range of projects where multiple subcontractors or employees are invoicing for their time and services relating to the same project.

As a result, any costs relating to a particular project, are easily identified and reconciled, allowing the business to then forward on, one simple invoice relating to that project. It reduces the amount of time required to process and issue invoices, and greatly the reduces the risk of issuing invoices with incorrect information.

User Experience

The simple, clean user interface uses best practice web app design that staff and subcontractors are familiar with.

The web app is completely customisable, and allows for itemised invoicing as well as the ability to create and book jobs all within an online portal.

Subcontractors are able to login and view any upcoming projects or tasks they are required to undertake, as well as receive a debrief of the scope of works, any WHS requirements relating to the job site, and any other site specific information they may require – such as first aid kit locations or visitor sign in points etc.

The key focus however, is to ensure the accuracy, and timeliness of invoices submitted from our contractors, so that in turn, the business can then generate and submit invoices to our customers on time, with solid confidence.

The web app refers to the exact terminology used in the transport and maritime industry regarding the processing and unpacking of shipping containers. This makes it easy for subcontractors to relate to their day to day jobs and invoicing items.

Feedback from subcontractors and MCS administrative staff show that the web app is making a clear improvement to accuracy and timeliness in invoicing and payroll activities.

Project Marketing

The web app is for internal use by Mendizabal Container Solutions and its subcontractors.

A series of training sessions have been organised for staff and subcontractors to involve them in beta testing and successful use of the system.

The majority of MCS contractors have adapted to this new application very easily, and are currently undergoing a smooth transition from paper invoices to electronic invoicing.

Project Privacy

A number of privacy issues arise in the design of MCS web app.

The app will collect personal information of account holders.

All personal information will be stored securely within the MCS system. Multiple layers of protection will be applied to prevent personal data being accessed by third parties.
